At Umuse, protecting your privacy is very important to us. We are committed to maintaining the confidentiality, integrity and security of information about our users and their organizations. As such, we view privacy and security as the most critical components of what we do, and our commitment to them is foundational to the success of our products and the business of the company.

This Privacy Policy is provided to help you understand what information we collect, how we use it, and what choices you have through the use of our Site, our Applications and the Service. This Privacy Policy does not apply to any third-party websites, services or applications, even if they are accessible through our Service. Also, please note that, unless we define a term in this Privacy Policy, all capitalized terms used in this Privacy Policy have the same meanings as in our Terms of Service. So, please make sure that you have read and understand our Terms of Service.  

This policy describes how we treat your information, not how other organizations treat your information. If you are using the Service in a workplace or on a device or account issued to you by your employer or another organization, that company or organization likely has its own policies regarding storage, access, modification, deletion, and retention of communications and content which may apply to your use of the Service. Please check with your employer about the policies it has in place regarding your communications and related content in the Service. If you do not agree with our policies and practices, your choice is not to use our Service. By accessing or using any portion of the Service, you agree to this Privacy Policy.

Your Content and Privacy is Not for Sale

Simply put, we do not and will not sell or rent Your Content to anyone, for any reason. We treat the privacy and security of Your Content very seriously. Except for the legal situations described in the Privacy & Security section of our Terms of Service, no Personnel will ever read or access Your Content. You retain ownership of any intellectual property rights that you hold in Your Content. In short, what belongs to you stays with you, it is yours!

What Information We Collect & Why

We collect and use the information to help us deliver the absolute best product experience possible. This information allows us to tune the user experience over time, optimizing the Service based on your feedback and how you actually use the Service. In addition, we use some of this information to protect and improve the security and confidentiality of the Service.

We collect different kinds of information for different purposes. Some of it is personally identifiable and some is non-identifying or aggregated. Here are the types of information we collect or receive:

  • Social Networking Site Information. For your convenience, we may allow you to register for the Service by using login credentials from third-party social networking sites such as Facebook and LinkedIn. If you register via these sites, they may provide us with some of the personal information you have provided to that site, such as your profile picture or job title.
  • Account and profile information. The only information we require to create your Account is the login credentials of an email, chat or social network account (i.e. email address and password). Optional information you can enter into your profile includes information such as your first and last name, a profile picture, your title or role in the organization, and your phone number.
  • Log data. When you use the Service, our servers automatically record information, including information that your browser sends whenever you visit a website or your mobile app sends when you’re using it. This log data may include your devices IP address, the address of the web page you visited before coming to the Site, your browser type and settings, the date and time of your request, information about your browser configuration and plug-ins, language preferences, and cookie data.
  • Device information. In addition to log data, we may also collect information about the device you’re using the Service on, including what type of device it is, what operating system you’re using, device settings, unique device identifiers, performance characteristics, configuration information and crash data. Whether we collect some or all of this information often depends on what type of device you’re using and its settings.
  • Geo-location information. We may use WiFi and IP addresses received from your browser or device to determine your approximate location. When we use Precise GPS from mobile devices, it is collected only with your permission.
  • Usage information. This is general information about how you use the Service. This includes information such as what features, messages, people, content, and links you read and interact with while using the Service.
  • Communication content. This includes the message title, header, contact and address lists and the message content itself. This content can include text, pictures, files and video among other types of files. We may also collect correspondence history such as when messages were sent and by whom, when or if they were seen by you, and through what channel you received them (for example, email or chat).
  • Payment information. If you purchase a premium version of the Service, our third party payment processors will collect and store your billing address and credit card information.
  • Information from partners or other 3rd parties. We may receive information from partners or others that we could use to make our own information better or more useful. This might be aggregate level information about which IP addresses go with which zip codes or it might be more specific information about how well an online marketing or email campaign performed.
  • Cookies and Related Technologies

    Like many websites we use technologies such as Cookies and Web Beacons to record log data, collect usage information and customize the Service on your behalf.

    Cookies are small text files sent by us to your computer and from your computer to us, each time you visit our website. They are unique to your Account or your browser. Some cookies are associated with your Account and personal information in order to remember that you are logged in. Other cookies are not tied to your Account but allow us to do, among other things, site analytics and customization. You can remove or block cookies using the settings in your browser, but in some cases that may impact your ability to use the Service.

    Web Beacons (also known as single-pixel gifs, pixel tags or clear gifs) are tiny graphics with a unique identifier that may be included on our Service for several purposes, including to deliver or communicate with Cookies, to track and measure the performance of our Service, to monitor how many visitors view and interact with our Service, and to monitor the effectiveness of our advertising. Unlike Cookies, which are stored on the user’s hard drive, Web Beacons are typically embedded invisibly on web pages or in an e-mail.

    We also work with a third parties like Google Analytics and Mixpanel to monitor our Site and Service for usage, performance and advertising purposes. Where authorized by us, these third parties may use cookies and/or other monitoring technologies to compile anonymous statistics about our users. No Personal Information is transferred to these third parties.

    How We Use Information

    We use the information we collect to provide, maintain, customize, protect and improve the Service, to develop new features and to protect both Umuse and our users. We use your information for the following:

  • Delivering the Service. We use information you provide to authenticate you, deliver message content to you and from you, customize your product experience based on your usage, and display your content correctly in the Service.
  • Personalizing the Service. Our automated systems analyze your content to provide you personally relevant product features, such as automatic addressing and tagging, customized search results, and personalized message delivery. Except as described in the Privacy & Security section of our Terms of Service, no Personnel will ever read or access Your Content.
  • Providing customer service. If you contact us with a problem or question, we may access Your Content to respond to that request and address your problems or concerns.
  • Improving our products. We use usage information to better understand how you use our products and to continually improve and enhance them. Where we use such data it is aggregated and anonymized so that it is no longer identifies to a specific user.
  • Processing payments. We may use the information you provide when processing an order for premium services. We only share this information with outside parties to the extent necessary to transact the payment and provide the service.
  • In-product communications. We may use the information you provide to contact you through the Service or other third party messaging tools. For example, if after, a few weeks of using the Service we notice that you haven’t used a certain feature, we may send you a message suggesting how to better take advantage of that particular feature.
  • Email notifications. We may send you service and administrative emails, such as when we notice that you are nearing a message, storage or search limit. We may also contact you to inform you about changes in our Service, new features or offerings and important service related notices, such as changes to this policy or our Terms of Service. These messages are considered part of the Service and you may not opt-out of them.
  • How We Share Information

    There are times when communications, related content, and other user information may be shared by Umuse. This section discusses only how we may share user information. Companies or organizations that use the Service may have their own policies for sharing and disclosure of information they can access through the Service. We may share information:

  • Service Providers. We may use third party service providers to help us deliver parts of the Service. For example, we use a third party service to manage our email marketing campaigns. This system stores your name, email address and the date on which you registered. When we use third parties to assist us in processing your personal information, we require that they comply with this Privacy Policy, our Terms of Service and any other appropriate confidentiality and security measures.
  • 3rd Party Integrations. If you use 3rd party integrations, we may share information about you with the provider of the integration. We are not responsible for how the provider of the integration may collect and use your data.
  • For Business and Research Purposes. We may also share aggregated or anonymized information with our partners or others for business or research purposes. For example, we may tell a prospective partner the average number of messages sent in a day or may partner with research firm or academics to explore the dynamics of workplace communications. This policy is not intended to prohibit the disclosure and use of aggregated or anonymized data.
  • As Required by Law and Similar Disclosures. We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process served on the Service. We may also share personal information with third parties in limited circumstances, including when preventing fraud or imminent harm and ensuring the security of our network and services.
  • Merger, Sale or Other Asset Transfers. If we are involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, sale of our assets, or transition of service to another provider, your information may be sold or transferred as part of such a transaction as permitted by law and/or contract.
  • Your Choices

    Whenever reasonably possible, we offer you choices when we ask for personal information. You may decline to provide personal information to us and/or refuse cookies in your browser, although some if not all of our features or services may not function properly as a result.

    We make good faith efforts to provide you access to your personal information upon request and to let you correct such data if it is inaccurate and delete it, when reasonably possible. If your personal information changes, you may update it using the settings link in the Application. When you update information, we may keep a copy of the prior version for our records.

    We may access, preserve, and disclose your personal information, other account information, and content, including after you terminate usage of our Service, if we believe doing so is required or appropriate to: comply with our legal obligations, resolve disputes, respond to your requests; or protect yours’, ours’ or others’ rights, property, or safety.

    You can uninstall the Umuse application at any time. When you uninstall the software, the application and all its associated data files will be deleted. Once deleted it cannot be recovered. However, if your Account is still valid, you may access the Service through other desktop, mobile or web applications.

    If you close your Account and terminate your use of our Service, all of your personal information and content will be deleted. Once deleted it cannot be recovered. However, it can take up to one month to delete an account after account closure and some information may remain in backup copies for a reasonable period of time.

    You may also set your browser to block all cookies, including cookies associated with our services, or to indicate when a cookie is being set by us. However, it’s important to remember that our Service may not function properly if your cookies are disabled. For example, we may not remember your user ID at login and you will need to re-enter it.

    Third-Party Sites

    Our Service may contain links to websites, services and content that are maintained by third parties we do not control. We are not responsible for the privacy practices of these third parties, and we recommend that you visit the privacy policies of each website that you visit. We may allow third parties to place and read their own cookies, web beacons, and similar technologies to collect information automatically through the sites and online services.

    Security and Data Protection

    We take reasonable steps to protect information you provide to us as part of your use of the Service from loss, misuse, and unauthorized access or disclosure. These steps take into account the sensitivity of the information we collect, process and store and the current state of technology. When you enter sensitive information (such as login credentials) we encrypt the transmission of that information using technologies such as SSL. We follow generally accepted standards to protect the personal data submitted to us, both during transmission and once we receive it. However, no electronic or email transmission or digital storage mechanism is ever fully secure or error free and we accept no liability for unintentional disclosure.

    International Users

    We process Personal Information on servers in the United States of America and in other countries. In some cases, we may process Personal Information on a server outside your own country. If you are visiting from the European Union or other regions with laws governing data collection and use, please note that you are agreeing to the transfer of your information to the United States and processing globally. By providing your information you consent to any transfer and processing in accordance with this Privacy Policy.

    Children's Information

    Our Service is not directed to children under 13. We do not knowingly collect, maintain, or use Personal Information from children under 13 years of age, and no part of the Service is intended for or directed to persons under the age of 18. If you learn that a child has provided us with Personal Information without your consent, please notify us at If we learn that we have collected any Personal Information from children under 13, we will promptly take steps to delete such information and terminate the child’s account.

    Changes to this Privacy Policy

    From time to time we may update this Privacy Policy. When we do we will post the most current version of this policy on this web page, and the revised version will be effective when it is posted. If you continue to use the Service after those changes are in effect, you agree to the revised policy. When we change this Privacy Policy in a material way, a prominent notice will be posted on our Site along with the updated Privacy Policy prior to the changes becoming effective.
